Registration status at University of Galway

If you are working abroad for a whole academic year, you must be registered as a student at University of Galway, otherwise you cannot receive credit for your traineeship abroad. You will be able register online in late August, and you should follow the instructions at www.universityofgalway.ie/registration, “Students Returning to Next Year”. Please ensure that your normal fees to University of Galway are paid promptly and in full so that you will be correctly registered at University of Galway while you are abroad.

BA International languages students on year-long traineeships

If you are a BA International student and you are doing a teaching assistantship or other traineeship instead of studying abroad at a university for the year, remember that you are obliged to inform the year abroad coordinator of your second subject in advance of going on Erasmus+, as you will be required to arrange and complete project work to make up the required credits for the Year Abroad in that subject.

Staying in touch with University of Galway

Email will be our principal means of official communication with you while you are away, and your “@universityofgalway.ie” address is the one that we will use for bringing you any news relating to the Erasmus+ Programme, e.g., notification of grant payments, messages from your coordinator, advice, reminders, etc. Please ensure that you check your college email account regularly and that you monitor your spam/junk email folder too, as important messages can end up there.

In addition, a Facebook page “University of Galway Outgoing Erasmus+” will provide a useful forum for communication with and between students on Erasmus+ topics as they arise during the year.

Where to find the Erasmus+ forms you’ll need?

On the University of Galway Erasmus+ Traineeship web page, you’ll find downloadable copies of all the principal forms that you will need to complete, apart from the Grant Agreement.

Please make sure to use the above web page, and not to confuse your forms with those intended for students on study visits.

Please note that a certificate of arrival is only needed for study visits; this document is not required for students on traineeships.

Documents you should bring with you

Here are some documents you must be sure to bring, and it’s a good idea to have a number of photocopies of your documents too, or at least clear digital copies.

• Your passport, as well as some passport photographs and/or a digital copy suitable for upload
• A letter stating that your home university has nominated you as an Erasmus+ student (the International Office at University of Galway will issue such a letter to all outgoing Erasmus+ students.)
• Your University of Galway student card
• University of Galway registration statement, proving that you are a registered student here for the relevant academic year
• Your European Health Insurance Card
• In some cases (e.g., for France), you may need a copy of your birth certificate. (This may need to be a translated version; your academic department can help you with this.)
• Copy of your employment contract
